Dropbox Dash Pricing and Cost per User With the 100 Seat Limit

Dash for Teams is $15 per user per month billed yearly, or $19 billed monthly, for up to 100 users. Dash for Business is $35 per user per month, billed yearly only, for deployments above 100 users. Existing Dropbox Standard, Advanced, Business and Business Plus customers are offered 50 percent off, which puts the effective rates at $7.50 and $17.50. Dash is billed separately from Dropbox storage plans, so an existing Dropbox subscription does not include it.

The Teams tier includes a 30 day free trial. The Business tier adds a company directory, the Workday connector and a dedicated person for live support on top of the search and chat features, and Dropbox sells a paid Premium Support add-on with a 4 hour response only on Business. Multiple admins are included on both tiers, which is part of why Dropbox prices it higher. Whether those additions are worth $20 a seat is a question only your admin team can answer, and it is worth asking directly rather than treating the jump as inevitable.

$18,000 a year at the annual Teams rate, because 100 users is the last headcount Dash for Teams covers. At 101 users the same deployment is priced on Dash for Business at $35 per user per month, which is $42,420 a year. The single additional person therefore adds $24,420 to the annual bill.

This is the number to model before you buy, and it is arithmetic rather than an accusation. Dropbox publishes both rates openly. But it means the cost curve for Dash is not a curve at all, it is a staircase with one very tall step, and the step is positioned exactly where a successful internal rollout lands. Here is what the whole range looks like at list price, before any Dropbox customer discount.

Notice the effective cost per seat in the last column. It holds flat at $180 a year all the way to one hundred people, then jumps to $420 and holds flat again. If your headcount plan for next year has you somewhere between 85 and 115 people, you are buying on the edge of a cliff and should price both sides of it now.

There is a tactical answer if you land just over the line, and it is worth naming because your Dropbox rep will not volunteer it. Ninety-five seats on Teams costs $17,100 a year. If five of the people you were about to license are occasional users rather than daily ones, leaving them off the license keeps you on the cheaper tier and saves $25,320. That is a real decision with a real trade-off, not a loophole, and it is the kind of thing worth deciding deliberately instead of discovering at renewal.

Dash costs less to evaluate, because Dropbox publishes its rates and Glean does not. Glean quotes on request and is generally sold with seat minimums through a sales-led process, so there is no list price to compare against Dash for Teams at $15 or Dash for Business at $35. Any article that states a Glean list price as fact is reporting somebody else's deal, not a published number.

The closest thing to public Glean pricing comes from procurement data platforms, and they disagree with each other. Vendr reports an average and median around $98,890 a year across the deals it had visibility into, with a range from roughly $29,880 to $208,897. SpendHound reports higher: around $142,019 a year for smaller companies and $259,933 for enterprises. Both are secondary sources describing negotiated contracts of unknown size, which is exactly why they diverge. Treat them as evidence that Glean is an enterprise purchase, not as a price.

So the honest comparison is not a number against a number. It is a purchasing model against a purchasing model. Dash you can buy this afternoon with a credit card and a 30 day trial. Glean you buy over a quarter with a security review and a negotiation. For a 60 person company that difference decides it. For a 4,000 person regulated enterprise, the procurement cycle was going to happen either way and Glean's depth may well justify it. Fewer buyers than the pricing page implies. Dropbox documents that a team deployment requires the account language to be English, the team to be located in the United States, the United Kingdom or Australia, and managed encryption keys to be turned off. Accounts that require HIPAA compliance are listed as not supported, along with customers on managed teams and individual users on Dropbox Plus, Professional or Essentials plans.

These are not obscure caveats buried in a contract. They sit in Dropbox's public help center, and they are the single most useful thing on this page if any of them apply to you, because they end the evaluation before you spend a week on a trial. We have not found them quoted in any competing comparison of Dash, which says something about how much of the writing in this category is produced without reading the vendor documentation.

The HIPAA line deserves particular attention from US buyers. Dash holds SOC 2 Type II, adheres to GDPR and CCPA, and encrypts connected content using FIPS 140-2 Level 3 cryptographic services through AWS Key Management Service. It is a well-secured product. But a strong security posture and a signed business associate agreement are different things, and Dropbox is being straightforward in saying the product is not for accounts with a HIPAA requirement. If you are a hospital system, a payer, a digital health company or a vendor handling protected health information, that is the end of the conversation regardless of what the seat price is.

The managed encryption key restriction is the subtlest one. If your security team specifically bought Dropbox key management to satisfy a control, turning it off to enable Dash trades one compliance position for another, and that is a decision that needs your security lead in the room rather than your IT admin acting alone.

Because Dash for Teams is capped at 100 users by design, and every deployment above that headcount is sold as Dash for Business at $35 per user per month instead of $15. The Business tier adds a company directory, the Workday connector and a dedicated support contact. The pricing is tiered rather than volume-discounted, so per-seat cost more than doubles rather than falling as you scale.

That shape is unusual. In most enterprise software, buying more seats lowers the unit price, because the vendor is trading margin for commitment and predictable revenue. Dash inverts it. The practical reading is that Dropbox has designed Teams as a self-serve product for small companies and Business as a different, more supported product for larger ones, and priced them as two products rather than two volumes of one. That is a defensible commercial choice. It is just one you need to model before you sign a one year Teams agreement while planning to hire forty people.

Yes. Smartsheet is one of 52 applications Dash lists on its connected apps page, 26 of them full integrations and 26 web history only, alongside Google Drive, OneDrive, Dropbox, Slack, Microsoft Teams, Gmail, Outlook, Notion, Confluence, Jira, Asana, Salesforce, GitHub, Airtable, Canva, Miro, Lucid, Zoom and Google Calendar. Dropbox has continued adding to the list through 2026, including OneNote and Airtable connectors and a rebuilt guided install flow for Dropbox and Google Drive that removes the old service account requirement.

Connector breadth is a real Dash advantage and worth conceding plainly. It is wider than ours. What connector count does not tell you is how well each connection actually indexes, how quickly it syncs, or whether it carries permissions correctly, and those are the things that decide whether people keep using a search tool after the first month. Dropbox did add connector sync status reporting in 2026, which gives admins visibility into ingestion progress and flags failed syncs, and that is a more useful improvement than another logo on the integrations page.

Dash enforces hard limits on what you can put in front of it: 25 MB per file, up to 10 files at a time, up to 50 images per conversation, up to 4.5 MB of text per file, PDFs up to 75 pages and PowerPoint decks up to 75 slides. These are current documented limits rather than future possibilities, and they matter more than they sound.

A 75 page ceiling on PDFs excludes a large share of the documents companies most want searched. Contracts, policy manuals, engineering specifications, board packets, benefit plan documents and regulatory filings routinely run past it. A 75 slide ceiling excludes most quarterly business reviews. If your corpus is heavy in long-form PDFs, run a trial specifically against your longest documents rather than a sample of memos, and check what happens at page 76.

Two more constraints worth knowing before a rollout. Local file search is desktop only, so it is not available in the browser at dash.ai, and the mobile app is available only in select countries, in English only, and does not include Ask, Write or Organize. If part of your case for buying is that field staff will ask questions from their phones, test that specific path first.

Dropbox has not priced it yet. The plans page states that in the future, plans may include a limit on how many items each member can use with Dash, and commits to at least 30 days of email notice before any such limit takes effect. Dropbox defines an item as a document, email, calendar invite, meeting recording, or any other individual piece of content.

Credit where it is due: pre-announcing a limit you have not yet imposed, with a notice period attached, is more transparency than most vendors in this category offer. Nobody else in our comparison set has published anything similar. But the definition is what makes it worth planning around, because it counts emails, calendar invites and meeting recordings as items, and those accumulate on their own whether or not anyone does anything. A company that connects Gmail and Google Calendar generates items continuously. Ten years of mail history is not an edge case, it is the normal state of a connected mailbox.

If you are signing a multi-year Dash agreement around a large document corpus, this is a variable that is currently unbounded and may not stay that way. Ask your Dropbox representative to put the current position in writing, and ask specifically whether an announced limit would apply mid-term or at renewal.

Dash is worth it for a company under 100 people that wants a broad knowledge workspace, is located in the US, UK or Australia, has no HIPAA requirement, and values connector breadth and a published price. At $15 per user per month billed yearly it undercuts most dedicated search tools, including our own Team tier at $20, and we are not going to pretend otherwise.

The case weakens in three specific situations. If you expect to cross one hundred people, the $35 rate is what you are actually buying and it should be the number in your model. If any of the deployment restrictions apply to you, the price is irrelevant. And if what you need is the search box and the cited answer rather than Stacks, a company directory and the Protect and Control governance console, you are paying for a workspace suite to get a search feature.
